Entering your data
appears to be easy. When having two people with
different last names in one contact form, how do you enter
the data so you can create form letters and address labels?
I'll show you how to:
- Enter contact information
- Correctly enter
significant others so the mail merge works
for letters and labels
- Set up
multiple
birthdays per contact
- Add a new
category
- Remove
Outlook's default categories
- Link
contacts to save you time and make follow up easier
- Change the
Default Reminder Notice to 1 day, 1 week, 10
days...whatever you want.

In this session we'll
focus how to display your contact information the way you
want and we'll also go through how to sorting you list...so
you'll learn how to:
- View the
information in your database with 7 predefined views...5
of which you can easily modify - I'll show you how.
- Easily and quickly sort your data.
- Get the most from
the Category view.
- Display more
information by adding a column
- Remove
columns you don't want to see or print and
- Rearrange the data columns
This session will
help you to
streamline using your contact information. |

Quickly Create Form Letters &
Address Labels

In this session we'll
learn the process to create
a form letter and then we'll proceed to make address
labels using a very similar process...we'll cover:
- Selecting the names
- Inserting the fields
- Merging the data
- How the
"Significant Other" data looks in your letter
- The 3 additional quick
steps your form letter could be sent as an email...I'll
show you how.
- The preview
icon so you can view the letter
before we print it
- How you can edit an
individual letter even if you have 100 you're merging
We'll also go over
the process to create address labels
- Select the label
size
- Insert the fields
- We'll save a
template to save us time when we have to create
labels again
- Merging the data
- You'll see how the
"Significant Other" data is placed on the
label.
- We'll preview the
label
before we print it.

This session is totally
driven by the questions you have about the material we've
covered in the previous three sessions. This is your
chance to ask:
- For a quick
review of a particular process
- Answers to the
handout you didn't get filled in
- about a
"recommended" setting for a feature in Outlook - I can
provide some guidance based on your particular situation
- Situational
instances and how I would handle it with Outlook - i.e.
"if you had to send out 75 emails to a category of
clients would you do it as a group email or use the mail
merge feature to send them out individually? Why?"
This is an
opportunity for you to ask questions that are specific to
your use of Outlook 2003, so take advantage of this. |
