We'll start out creating
a form letter by:
- Selecting the names out
of a particular Category
- Inserting the fields
(this is how the information gets pulled from your
database into the letter)
- Merging the data into
our letter
Then we'll
personalize a group email to go to 87 people...
- You'll see how the
significant other, spouse with a different or hyphenated
last name is placed into your letter
- With 3 additional quick
steps your form letter could be sent as an email...I'll
show you how.
- With the click of a
button we'll preview the letter
before we print it
- I'll show you how to
make a correction or add a personal note to one or two
of the letters
- I'll show you how to
save a chunk of time by showing you when to save
your layouts.

After all the hard work
you put into your database...you sure don't want to
lose it. To ensure that you don't, you must get a
copy of your data OFF your computer.
Did you know the
Auto Archive doesn't back up your contacts?
We'll be:
- Going through
the entire process of Exporting all your contact
information - not just the name and mailing
address
- We'll also open
up our exported data in Excel to make sure all
the data has been properly exported
- What if you
can't burn a CD, what do you do? I'll give you
some ideas.
We will not show you
how to burn a CD, but we will show you how to create
the file that you will put onto a CD, Jump Drive,
External Drive or some other external device.

We'll start out creating
labels with a quick sort in
Category View (explained in TB2) and then we'll...
- Select the label
size
- Insert the fields
- Save a
template to save us time when we have to create
labels again
- Merge the data into
our labels
- Preview the
label
before we print it.
- See how the
"Significant Other" data is placed on the
label.
I'll also share a quick tip
or two that can save you time when you will be doing more
mailings to the same list in the future.

Maybe you are switching
to Outlook from Top Producer, or your title rep has
sent you a list of names in an excel file, whatever
the case, I'll show you a full proof method
to Import your data so you won't mess up your
current database. We'll be:
- Making sure the
file you are Importing is the correct file
format so Outlook will easily recognize the data
- Mapping the
fields to make sure Outlook recognizes the data
field name and imports it correctly (i.e. the
first name field in your Excel file matches with
Outlook's first name field) .
- Putting specific
groups of people into the same Category all at
once...this is a huge time saver and a great
short cut to know.
- Never Import
directly into your main Contact folder - I'll
explain why and show you how to protect your
main contact folder from incorrect importing.

Calendar
& Task Features

This is a basic
overview of the Calendar feature to give you a better
understanding of:
- The different
views available and changes you can make
- How to set appointments
- How to set
reminders
- How to quickly reschedule any
appointment
- Setting recurring
events (ie. sales meetings).
Task Features
There are similarities between setting up appointments
and using the Task feature...so to avoid redundancy we'll
- How to
create a new task
- Setting a reminder
- Setting the
task to recur
- Attaching a document to it
- Look at the different views available to
you
- how to insert or remove columns you
don't care about

This session is ideal
fro someone getting started with Outlook or if your email
use has been pretty basic. I'll help you better use
the email system to save you time. We'll cover:
- We'll review the email
toolbar
- The different ways you can view
your email
- Tips on protecting your computer
from viruses.
- How should you
be managing your email?
- How to
organize your email by creating folders.
- Setting up a
basic Email Signature
(no photos)
- Sending the
same email to a group
- Personalizing
each email when sending to a group
We'll also talk
briefly about what SPAM really is (no not the meat?) and how
to make sure your email is CANSPAM compliant. |
